SharePoint Overhaul That Made Copilot Actually Useful

The Challenge

A consulting firm with 28 employees had 8 years of documents scattered across disorganized SharePoint libraries. Permissions were broken — confidential HR documents were accessible to junior staff. Nobody could agree on naming conventions, and the same document existed in 4 different versions across 3 different libraries. • Audited 15,000+ documents across 12 SharePoint libraries, identifying 3,400 duplicates and 2,200 stale files
• Redesigned the information architecture from scratch — flat, intuitive library structure with consistent metadata
• Established naming conventions and taxonomy, documented in a governance guide
• Archived stale documents to a retention library, removed duplicates
• Rebuilt permissions from the ground up with role-based access and proper confidentiality controls
• Migrated remaining documents into the new structure
• Enabled Microsoft Copilot on the clean foundation and validated search accuracy
• Trained the entire team on the new structure and governance policies

The Outcome

Copilot now returns accurate, relevant answers from the correct documents. The time to find any document dropped from 'it depends' to under 30 seconds. Sensitive HR files are properly locked down. New employees can onboard to the document structure in a single afternoon instead of weeks of tribal knowledge transfer.
